Using the AI Document Importer
ApariPro’s AI Document Importer lets you upload your financial documents — such as receipts, bank statements, dividend vouchers, and P60s — and automatically extract the relevant information into your tax account. This saves you from manually entering figures and helps make sure your records are complete and accurate.
This guide walks you through the process from start to finish.
Before You Begin
Before using the AI Document Importer, please make sure:
You are logged in to ApariPro.
Your business sources (e.g. self-employment, rental property) have been set up in your account before uploading any documents. This ensures the AI can assign your data to the correct area of your tax return.
Your documents are saved as PDF or image files (JPG, PNG, etc.). Other formats such as .csv, .doc, or .rtf are not currently supported.
Signing In to the AI Document Importer
The AI Document Importer is accessed from the main ApariPro app on the left hand navigation bar. To get started:
Select document importer
The importer will open in a separate tab.
You will land on your Document Importer Dashboard, where you can see all the document bundles you have created.
Understanding Bundles
A “bundle” is simply a collection of documents you want the AI to process together — for example, a set of receipts or statements from the same period. You can create as many bundles as you need.
From your Dashboard you can view all your bundles and sort them by:
Updated at (date) — the default view
Status
To Review
From your Dashboard, click Create New Bundle.
Give your bundle a name (e.g. “Receipts – April 2025” or “P60 2024–25”).
Optionally, you can add any supporting notes or context to help the AI understand your documents.
Select Create to proceed.
After creating your bundle, you’ll be taken to the upload screen. Before uploading, you need to tell the AI what type of data each document contains so it knows where to send it in your account.
Choose the appropriate option for each document:
Self-Employment Transactions — for receipts, invoices, and bank statements relating to your self-employed work.
Landlord Business Transactions — for rental statements, property expenses, and bank statements relating to your rental income.
Uncategorised Transactions — best used for large or multi-month bank statements. These will appear in your Record Keeping area so you can review and categorise them.
Import Totals to Tax Return — for documents where you want the totals to feed directly into your tax return. Use this for P60s, dividend vouchers, P11Ds, tax certificates, and Capital Gains Tax reports.
If all your documents in the bundle should be treated the same way, untick Select Individually to apply the same setting to all documents at once
Drag and drop your files onto the upload area, or select to browse for them. Once each document has been assigned, click Upload.
Whilst Your Documents Are Being Analysed
Once uploaded, the AI will start working through your documents. You’ll see them appear under the Uploaded tab. When each document is ready for review, it will move to the To Review tab.
Each document typically takes around one minute to analyse, depending on its size and complexity. You can begin reviewing documents as they become ready, or wait until all have moved to To Review.
Reviewing the AI’s Output
When you’re ready to check the results, click Start Review. You’ll be taken through each document one at a time.
The screen will show a preview of your document on the left and the AI’s extracted information on the right (on smaller screens, these may appear stacked). Review the details and make any corrections needed.
For each document you can:
Accept Doc — if you’re happy with the output.
Save — to come back and finish reviewing at a later stage.
Discard Doc — if the document isn’t relevant or was uploaded by mistake.
Once you’ve reviewed all your documents and accepted or discarded each one, you’ll be returned to the Bundle Dashboard.
Click Import Bundle to proceed to the final review page.
Use the Preview icon next to each item to double-check the output before it’s sent to your account.
If anything needs changing, click Cancel to go back and remove or adjust individual documents.
When you’re happy, click Import Bundle. Your data will now be imported into your ApariPro account.
To verify your data has arrived:
For transaction data, go to Record Keeping in your ApariPro account.
For tax return data (e.g. P60 totals, dividends), go to Tax Submission.
Things to Know
A few helpful things to be aware of when using the AI Document Importer:
Large bank statements: For bank statements longer than 4 pages, the AI may not capture every transaction. We recommend either selecting Uncategorised as the document type, or using the CSV bank statement import instead.
Document storage: Uploaded documents are held in the AI Document Importer and are not currently visible inside the main ApariPro app. We are working on bringing them across.
Tax year support: The AI has been trained on 2025–26 tax year documents and handles 2026–27 documents well too, though we are continuing to improve consistency for the newer year.
Images: If uploading a photo of a document, make sure it is taken face-on and clearly lit. Images taken at an angle may not be read accurately.
